Zoom Meeting Summary

Flashback to January 2023, Chat GPT had just been released and it was making waves across all of tech. The height of the initial AI craze was just beginning and companies all around were trying to figure out this new technology.

I was the sole meetings designer tasked with exploring AI capabilities. I partnered with our lead PM and together we worked to develop our first suite of AI offerings.

As the sole Meetings designer focused on AI, I partnered with product, engineering, and leadership to design and launch Meeting Summary, one of Zoom’s first generative AI experiences. I shaped the 0→1 product strategy, core workflows, and user experience journey from early beta through global launch.

Impact

Meeting Summary grew from 3M summaries generated monthly at launch to more than 14.6M per month by 2025, becoming one of Zoom’s most widely used AI workflows and a cornerstone of AI Companion.

Data Driven Design

AI is new and groundbreaking technology. And it should should address core user problems. That’s exactly how myself and my product partner approached designing AI first in our core meetings product.

We delved into past research and conducted new studies and found a few guiding principles.

Our Biggest Challenges

When designing for this new technology, there was a steep learning curve:

  • Navigating New Technology with Unpredictable Results: Generative AI is an emerging technology that often produced unpredictable outputs, requiring extensive testing and frequent iterations to ensure consistent and valuable user experiences.

  • User Control, Consent, and Safety: We built in systems that ensured users always had control, were aware of what was happening, and safeguards were in place for our AI models.

  • Building User Trust in AI-Driven Tools: Many users were unfamiliar with AI assistants in a professional setting, so we prioritized clear, transparent design that communicated AI’s benefits and limitations, fostering user trust and comfort.
